Tender Executive
*Key Responsibilities:*
- *Tender Management:*
End-to-end management of tender processes, including preparation, submission, and follow-ups. Ensure that all documentation is in order and complies with the tender specifications.
- *GEMS Portal Expertise:*
Experience in handling tenders through the *Government e-Marketplace (GEMS)* portal, including registration, bid submission, and post-submission processes.
- *Preparation of Tender Documents:*
Coordinate with internal departments to gather necessary technical, commercial, and legal documents required for tender submissions. Prepare and compile tender documents in a structured and organized manner.
- *Bid Proposal Preparation:*
Prepare detailed bid proposals, ensuring that all specifications, terms, and conditions outlined in the tender document are addressed comprehensively.
- *Tender Submission & Follow-ups:*
Submit tenders on the GEMS portal and follow up with concerned authorities for any clarifications or updates. Ensure compliance with timelines and address any issues arising during the submission process.
- *Tender Tracking & Reporting:*
Track and maintain records of submitted tenders, upcoming tenders, and their status. Provide regular updates to management regarding the progress of each tender.
- *Vendor and Stakeholder Coordination:*
Collaborate with internal departments, external vendors, and other stakeholders to ensure smooth flow of information and timely submission of documents.
- *Compliance Check:*
Ensure all tenders are in full compliance with legal, regulatory, and organizational standards. Address discrepancies or issues as needed.
- *Market Research:*
Continuously monitor and analyze market trends, industry standards, and competitors’ activities to inform tendering strategies.
*Qualifications:*
- Bachelor's degree in Engineering, Business Administration, or related field.
- Minimum of 2-3 years of experience in tendering, with a focus on working with the *GEMS Portal*.
- In-depth knowledge of the complete tendering process for both government and private sector projects.
- Strong proficiency in MS Office (Excel, Word, PowerPoint) and tender-related software.
- Previous experience in the steel, construction, or manufacturing industries will be an advantage.
- Understanding of GEMS portal regulations and processes is a must.
- Strong communication, negotiation, and interpersonal skills.
- Attention to detail and the ability to work under tight deadlines.
